This person is responsible for the overall management of office and clerical duties for the program. The Office Manager reports directly to the Operations Director or their designee. This position is one of high visibility requiring frequent involvement with direct care staff and program clients.ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receives incoming phone calls and directs them to the appropriate personnel; takes messages.
  • Maintains office equipment such as the copy, fax, and postage machines.
  • Orders office supplies for in-office personnel as needed and upon request.
  • Handles the office and interoffice mail. Opens, logs, sorts, and distributes all incoming mail.
  • Responsible for creating and maintaining a uniform program/fiscal filing system.
  • Files the following information daily: financial, programmatic and medical.
  • Must copy and distribute documents to the appropriate parties. Responsible for typing, proofreading, and processing the following documents on a computer in a timely fashion:
    • Incident reports
    • Unusual reports (to be completed within 24 hours and immediately faxed to County and Regional Offices)
    • Annual assessments
    • Individual Program Plans
    • Quarterly reports
    • Create and update all client face sheets
    • Invitations to all client meetings
    • Correspondence generated from the Program Director/Program Specialist and other office personnel
    • Units of service
    • Incident report tracking form
    • Phone sheets
    • Create and update client room and board contracts
    • Responsible for copying the following information:
      • All programmatic documents
      • All medical documents
      • All financial documents
      • All end of the month paperwork
      • Training manuals
      • Maintains appropriate quantity of blank programmatic/medical/financial forms
      • Maintains a book of original blank programmatic/medical/financial forms
      • Responsible for all outgoing mail.
      • Greets, assists and directs visitors, staff and clients to the appropriate personnel.
      • Responsible for completing and processing the following financial information:
        • Grocery accounts - Original must be forwarded to the ReDCo Fiscal Department. Copies must be forwarded to the DSS Financial Manager.
        • Audits client cash on hand. Originals are kept in client financial file. Copy forwarded to the DSS Financial Manager.
        • Audits household office petty cash. Original forwarded to the DSS Financial Manager.
        • Client Accounts - Handles all billing, issuing computerized checks, completes tax returns, rent rebates, waivers, deposits, burial accounts, and bank reconciliation.
        • Client checks - Processes client check request to DSS Financial Manager; audits client funds; distributes client checks (responsible for the safety of all client checks/funds in your care).
        • Handles fiscal matters with Social Security and Welfare Departments.
        • Prepares client financial documents and client monthly financial reports.
        • Assists DSS Financial Manager with other related duties when necessary.OTHER DUTIES

                  • This position requires a minimal amount of travel.REQUIRED EDUCATION AND/OR EXPERIENCE
                    • Must be at least 18 years of age and have a valid Pennsylvania Driver's license with good driving record. A high school diploma or preferably a degree from an accredited business school.
                    • Organization and attention to detail
                    • Clear written and verbal communication skills
                    • Computer skills (MS Office Suite software use, ability to learn Pennsylvania programmatic portals - HCSIS, PROMISe, etc---)
                    • Ability to exercise independent judgment in establishing priorities for a clerical workload
                    • Independence on projects, ability to complete/follow up tasks without direct supervision.PREFERRED EDUCATION AND EXPERIENCE
                      • 2 years related experience in assisting and/or managing an office environmentCERTIFICATES, LICENSES, REGISTRATIONS
                        • None requiredQUALIFICATIONS
                          • Language SkillsAbility to read, analyze, and interpret complex documents and instructions. Ability to respond effectively to sensitive inquiries or complaints. Ability to clearly explain instructions in both written and oral media.
                            • Mathematical SkillsBasic mathematic ability including addition, subtraction, multiplication, and division. Use of MS Excel to aid in mathematical work.
                              • Reasoning AbilityAbility to read instructional bulletins and/or participate in training sessions then translate information provided into day-to-day work duties.ADDITIONAL ELIGIBILITY QUALIFICATIONS
                                • Basic knowledge of computers and related office equipment
                                • Ability to make arithmetic computations accurately and rapidly
                                • Ability to establish and maintain effective working relationships with associates and the public
                                • Knowledge of accepted office management practices
                                • Ability to maintain accurate financial records
                                • Knowledge of computer programs dealing with spreadsheets
                                • Basic knowledge of computers and related office equipment to records fiscal information
                                • Ability to make arithmetic computations accurately and rapidly
                                • Ability to establish and maintain effective working relationships with associates and the public
