If so, this Vaccines Distribution Planning Coordinator role could be an exciting opportunity to explore. As a Vaccines Distribution Planning Coordinator , you will manage delivery fulfillment out of RDC US for a range of customers in the Americas and transfers between manufacturing sites into RDC . This role will provide YOU the opportunity to lead key activities to progress YOUR career. These responsibilities include some of the following: Order/requirements processing: - Monitor the forecasted shipments according to the open customer orders. - Customer orders handling in quantities, quality and costs in the requested times and according to procedures, national and international laws and/or rules for commercial and no commercial deliveries. - Provide appropriate shipping plans to prepare customers for receiving and storing vaccines according to required standards. Invoicing/Shipping: - Manages the procedures related to each customer/supplier, including product return - Handles special cases (inspections, legalizations, weekend arrivals or departures) - Coordinates the shipments of the products to the subcontractors, or other GSK sites, in collaboration with the relevant services - Responsible for invoicing process and returns, letter of credits and other shipping documents. - Provide consignee and customs broker with shipping information and documents and follow up until delivery execution - Develop and manage the import/export customs documents archive and procedures, including relationships with national customs agency (SPOC/SME for local distribution/commercial laws/regulations) OK. Performance and administrative management: - Generate reports (KPI's), statistics on the basis of data collection. - Proposes logistics tactics to reduce costs at the US DC's levels.Support internal and external audits for the Department and the RDC related to VDP activities. Planning and Coordination: Main contact person for Regional Commercial for alignment on priorities, especially during Flu season - Follows the incoming shipments from manufacturing sites (Wavre/Rosia/Marietta/SainteFoy) until reception at RDC and ensures seamless transport organization with Logistics Service Provider and comes up with mitigation (out of standard opening hours, weekend receptions/deliveries) plans if required. - Communicates the priority cases to other departments and follows up until successful completion. Manage the capacity and opening hours of the US DC's. Interaction/Communication: - Support and manage direct relations with local brokers and Logistics Service Providers (in cooperation with VDCC, Finance, Procurement and CS). - Interaction with Warehouse, Customer Service, Finance, QA and other functions involved in the shipment organization. - Trains new colleagues on performing practical tasks =>more than 1 FTE? - Support other Vaccines Distribution Cold Chain functions for projects and business requirements. - Identified as the preferred back-up of VDP employee in Belgium (e.g. summer/winter holidays). Basic Qualifications: We are looking for professionals with these required skills to achieve our goals: Bachelor's Degree in commercial/logistics consolidated field. 3+ years of experience with robust background to face complex situations/Analytical skills, business related decisions Preferred Qualifications: If you have the following characteristics, it would be a plus: Master in Logistics, Supply Chain Management or Logistics/Transport. Language Skills: Excellent English written/spoken - French would be useful/asset but not mandatory. Computer Knowledge: SAP, Microsoft Office, SharePoint, create queries in databases or other software. Sense of urgency, flexibility and accountability. Strongly Customer minded Excellent organizational and communication skills. Good knowledge of GxP guidelines and quality mindset. Good knowledge of customs procedures and processes. Good knowledge of cold chain requirements. Strong team player. Process improvement minded. Ability to work effectively in collaboration with different departments and countries, multi-cultural awareness is an asset. Intensive internal and external stakeholder management (QA release, Customer Service, all GSK VX site, Logistic supplier, Authorities, Locs, GMS Supply HUB, Commercial, Finance, ) Strong personal resilience. Strong autonomy recommended. Knowledge of Logistics/Transport & associated Finance concepts: understand the principles of logistics/transport concepts like import/export rules, Incoterms, Customs Clearance, Letter of Credit, trade compliance rules to be able to define the best and optimized set us to serve the customers (Import permit lead-time, Letter of Credit problems/discrepancies and country of origin determination) Knowledge of SAP R/3: understand the Shipping & Billing processes in SAP as well as Cold Chain Master Data to be able to go through the different transactions to analyze cases, identify set up mistakes and propose solutions. Knowledge of Cold Chain: understand what temperature controlled shipment is and what the packaging and monitoring solutions can bring in order to be able to analyze solutions, identify mistakes and propose solutions. GSK Vaccines supply chain/distribution is complex, due to the number of sites, regulatory variations, production variability, variety of products, and customers. - The incumbent needs to understand this complex environment, and use that knowledge to challenge Customer Service and internal stakeholders on delivery options and propose trade-offs. - In addition, the high volatility of supply and the various roadblocks on the way require a constant focus on operations and customers management. - Due to the high number of interfaces (customers, production sites, release, Trading partner, finance, other GVSC functions) at different levels of the organization and with different regions, good communication and organizational skills are required.
